Writing Style

Plain Language

Plain language helps a reader find, understand, and use information the first time they read it.

What to Watch

  • Put the reader’s task first.
  • Use clear headings and short sections.
  • Prefer familiar words and active verbs.
  • Break instructions into numbered steps.
  • Test the draft with someone who has not seen it before.

Practice

Rewrite a confusing event announcement so a new visitor can tell what to do, where to go, and what to bring in under 90 words.

Use It Today

  1. Lead with the action.
  2. Use “you” when speaking to the reader.
  3. Put one task in each step.
  4. Replace vague labels with concrete ones.
  5. Read for questions a new reader would still have.

On the Page

Instead of “Registration is available,” write “Register by Tuesday, Sept. 1, using the form below.”
